CPE Property Management is our new property management company as of January 1, 2023. They are based in Branford and are a Community Associations Institute member.

Texting

Please use (540) 453-8398 for texting which is most efficient for general questions. Add this number to your contacts and rename it such as “CPE Prop. Mgmt.” or other as you prefer. Text messages are monitored by several staff members and are returned as soon as possible but please allow for up to one business day. Maintenance requests should be made via the AppFolio Mobile App or Online Portal, not text.

AppFolio Mobile App and Portal

AppFolio’s Mobile App and Online Portal provide many features to assist unit owners as efficiently as possible. You can submit maintenance requests with photos, access documents such as the rules, bylaws, budgets, financial reports, view your unit’s accounting records, submit an architectural request, access the community calendar, etc. This weblink provides an overview of the Online Portal by AppFolio – Click Here.

Paying Monthly Common Charges

Common charge payments should be processed through AppFolio’s Mobile App or Online Portal via eCheck payment processing available with no processing fees. Maintenance Requests

Maintenance requests should be submitted through the AppFolio Mobile App or Online Portal where you can easily upload photos too. See page 5.

Community Communications

Periodic community-wide emails/letters will be sent to all unit owners via the AppFolio system and via USPS mail for those without email. For emergency notifications, or important association reminders such as an Annual Meeting, there will also be text-messaging notifications.

Architectural Requests

Architectural requests for items such as replacing windows, doors, HVAC equipment, plumbing modifications, etc. should be submitted through the AppFolio Mobile App or Online Portal where you can easily upload forms and contractor insurance and licensing documents.

Unit Owner & Tenant Contact Information

Please verify your unit’s contact and vehicle information for accuracy. You can update your profile via the AppFolio Online Portal. It is very important that the Association maintain accurate contact information for all unit owners and tenants for important Association notices or an emergency.

Resale Certificates and Mortgage Questionnaires

Resale Certificate and Governing Documents can be ordered through CondoCerts click here. You will need the buyer’s contact information and their attorney’s contact information. To submit a Mortgage Questionnaire, please also use CondoCerts - click here.

Certificates of Insurance

Mortgage companies often request a Certificate of Insurance (COI) or the Master Insurance Policy from unit owners. The COI requires specific language that the association’s insurance agent prepares. The association’s insurance agent along with instructions to obtain the COI can be found in the Insurance Folder in the AppFolio Mobile App or Online Portal.

Emergencies

For any life-safety emergency call 911 so the appropriate emergency services can be dispatched. For after-hour emergencies please call our office

(540) 453-8398, select 9 and your call will be routed to the on-call manager. We are available 24/7/365 for emergencies. Please use this for emergencies only. Non-emergency calls will be subject to an $85.00 fee.




They will not be accepting common charge payments at the clubhouse drop box. You now pay your common charges online. They are requesting all residents please set up their online accounts. You will also submit work orders there and much more.

Association Meetings

The Board meets eight times per year in January, March, May, June, July, September, October and November on the 3rd Tuesday of the month at 7:00 pm via ZOOM until further notice. Owners are encourage to attend. Get in touch with the management company with your email address to receive an email invitation to the meetings.

The annual meeting, to which all owners should attempt to attend (via Zoom or in person as specified) or submit a proxy, is the last Sunday of June.
